Privacy Policy

ITC is an internal business platform operated by Inmotion Trading Central (“ITC”, “we”) for its employees and authorized contractors. This policy explains how we handle personal data, including Google user data, when you use the platform at itc.inmochem.com.

When you connect a Google (Gmail) mailbox, ITC requests the following OAuth scopes:

• openid, email — to identify your account.
• gmail.readonly — to read messages in the mailbox you connected, so the assistant can classify, summarize, and link them to business records.
• gmail.compose — to create draft replies in your own Gmail mailbox. ITC never sends email on your behalf without an explicit action by you.

We also receive your name and email address from your Google profile for account identification and access control.

Google user data is used exclusively to provide the ITC email assistant to you:

• Syncing the connected mailbox into your ITC workspace.
• Classifying, prioritizing, and summarizing messages.
• Linking messages to business records (companies, deals, shipments).
• Preparing suggested draft replies for your review.

ITC's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, ITC does not:

• Sell or share Google user data with third parties for advertising or marketing.
• Use Google user data to train, fine-tune, or improve generalized AI or machine learning models.
• Transfer Google user data except to the AI provider strictly needed to produce your classification, summary, or draft, under contractual confidentiality obligations.
• Use Google user data for any purpose other than the email assistant described above.

To classify and summarize messages and to propose draft replies, ITC sends the content of those messages to its AI provider (OpenAI) over an encrypted connection. That processing is limited to producing your assistant output. ITC does not permit the provider to use this content to train its models.

• Access and refresh tokens for your mailbox are encrypted at rest (AES-256-GCM).
• Synced message content is stored in ITC's PostgreSQL database hosted on Railway, accessible only to authorized ITC services.
• Tokens are never included in logs, browser payloads, or background-job payloads.
• All access requires employee authentication and role-based authorization.

• Disconnecting your mailbox revokes ITC's stored access and refresh tokens immediately.
• You can revoke ITC's access at any time from your Google Account settings (Security → Third-party access).
• To request deletion of synced message data, contact thetboard@gmail.com. We will delete the data within 30 days unless retention is required by law.

We do not sell personal data. Data is shared only with the infrastructure and AI providers described above, under confidentiality obligations, and only as needed to operate the service.

Depending on your jurisdiction, you may have rights to access, correct, or delete your personal data. Exercise them by contacting thetboard@gmail.com.

We will post any changes on this page and update the “Last updated” date. Material changes will be communicated to platform users before taking effect.
